Description of Duties:

This position serves as the Benefits Administrator and Human Resources Generalist.   Ability to work under limited supervision and must be capable to work without detailed assignments. Exercises judgment for selecting appropriate methods for completing tasks.

Benefit Administration

  • Ensure employees complete and submit insurance forms in a timely manner
  • Upload to Costpoint employee benefit enrollment selection, ensuring accuracy
  • Verify payroll premiums deductions are correct in the payroll file
  • Administers company benefit programs while maintaining accurate enrollment data
  • Administers disability and workers’ comp claims requests
  • Administers FMLA and administrative leave programs
  • Responsible for the distribution of other benefit materials and forms to employees
  • Facilitate and process requests for insurance change mid-year
  • Assist with the annual open enrollment

New Hire Orientation

  • Schedule new hire orientation
  • Conduct new hire orientation providing benefits overview
  • Maintain current and accurate benefit information available to new hires
  • Complete Form I-9 Certification and submit entry into E-Verify

Invoice Reconciliation

  • Retrieve monthly insurance invoices for discrepancy and reconcile with payroll deductions
  • Process additions and terminations to various insurance plans
  • Review and resolve discrepancies with vendors
  • Prepare monthly invoices for payment and submit to accounting in a timely manner
  • Reconcile Healthcare and Dependent care FSA and transportation benefit accounts
  • Prepare Monthly invoice for life and disability plans and submit to accounting in a timely manner

General HR Administration

  • Maintain filing system for benefits, 401(k), personnel, various HR related forms and compliance reporting documents
  • Facilitate background investigation and verification of employment
  • Respond to inquiries from employees and external sources
  • Prepare EEO, AAP and Vet Reports for filing with compliance agencies
  • Assist with ACA reporting
  • Prepare monthly head-count turnover reports
  • Prepare certificate of insurance for employees
  • Maintain Federal and State posters requirement to comply with laws and regulations
  • Responsible for reporting new hire notices to various states
  • Assist with managing expat and global employees visa and residency process
  • Responsible for maintaining accurate and complete personnel data in Costpoint
  • Perform administrative duties such as typing, filing, mailing, and making copies
  • Prepares reports and data sheet up requests
  • Assis on special project and perform other duties as assigned to assist with the day-to-day operations of the Human Resources Department

Terminations

  • Conduct and coordinate the out-processing of terminated employees
  • Distribute notices to terminated employees
  • Prepares COBRA notice to vendor for terminating employees
  • Verify termination of insurance from benefit plans in Costpoint and from vendors

Basic Qualifications:

  • 5-7 years of experience in Benefits and HR Administration 
  • An equivalent combination of experience, education and other qualification may be considered
  • Good written and verbal communication skills
  • Solid understanding of insurance procedures and processing
  • Must be proficient in MS Word and Excel
  • Must be able to demonstrate superior organizational skills and attention to detail
  • Experience with Costpoint. preferred
