The Opportunity

The IT Helpdesk / Facilities Coordinator is a customer service-oriented position located at our offices on Navy Pier and will monitor incoming service requests through our helpdesk ticketing system. The IT Helpdesk / Facilities Coordinator will handle facility related requests and basic IT functions and assign tickets based on the needs of the request to the proper support team. The IT Helpdesk / Facilities Coordinator is responsible for the care, maintenance and upkeep of our main office located on Navy Pier, and for supporting our bureau offices on the South and West sides of Chicago, and in Northwest, Indiana ensuring the facilities are well-maintained, clean, secure, highly functional and welcoming for our staff and guests.

Essential Duties and Responsibilities

  • Install, modify, and repair computer hardware and software. Create images and initial installations of laptops and/or desktop computers. Assure all systems meet CPM standards.
  • Configure, troubleshoot and repair desktop and laptop computers and associate devices in a network environment and install computer peripherals for users.
  • Troubleshoots common computer issues and escalate to IT Team if further assistance is needed.
  • Update documentation of computer inventory and asset management of hardware and software inventory.
  • Knowledge of Office 365 and related office software suites including Sharepoint and Teams.
  • Maintain all printers and copiers. Maintain toner inventory and work with CPM vendors to assure equipment is serviced regularly.
  • Responsible for desk relocations and computer and phone set up.
  • Ensure facility is kept clean and our infrastructure and furniture and fixtures are in good repair.
  • Maintain updated seating assignment chart and perform desk relocations and computer and phone set ups.
  • Maintain the working relationships with our service providers to ensure the major systems are maintained (HVAC, plumbing, electrical, elevators, fire extinguishers and lighting).
  • Ensure facility is kept secure and safe. Maintain all fire extinguishing equipment and fire safety and emergency evacuation procedures. Ensure staff is kept current on fire safety and emergency evacuation procedures and administer fire and safety drills on a regularly scheduled basis.
  • Order general supplies (cleaning supplies, coffee and kitchen supplies, etc. This does not include office supplies which are handled by specific departments) and ensure adequate inventory is on hand.
  • Handle facility-related requests for special meetings and events (Staff meetings, Board of Directors Meetings, Committee Meetings, Sounding Board Meetings). Manage the setup and breakdown seating and tables in the configuration needed.
  • Manage and fulfill any equipment requests (AV equipment), and ensure any specific security needs are handled for special meetings and events.

Required Skills and Experience

  • An openness to learning new technologies.
  • Prior Facilities Management Experience is a plus.
  • A strong working knowledge of computer systems, hardware, and software.

Due to current COVID restrictions, you must be able to work remotely at your own designated location with Internet access and you must be willing and able to work at our Navy Pier offices, if needed. Right now, most of our staff is working remotely.
