Director, Document Control

The Director of Document Control will oversee the strategic direction, creation, organization, maintenance, and storage of company documents and records. This role requires exceptional attention to detail, strong organizational skills, and the ability to lead a team in managing document workflows and compliance with regulatory standards. The Director will also be responsible for driving innovation and continuous improvement in document control and records management processes.

Responsibilities:

  • Strategic Management of Document Control Systems: Ensure the integrity and reliability of document control systems, including electronic and physical databases, and develop long-term strategies for their enhancement.
  • Policy Development and Implementation: Create and implement policies and procedures for document control, records management, and lien release processes to ensure compliance with industry standards and regulations.
  • Leadership and Team Development: Supervise, mentor, and train staff responsible for document control and records management activities, fostering a culture of excellence and continuous improvement.
  • Regulatory Compliance: Monitor compliance with internal and external regulations regarding document control, records management, lien release, and ensure the organization is audit-ready at all times.
  • Audit Coordination: Prepare for and coordinate internal and external audits of document control systems, records management practices, and lien release processes.
  • Document Lifecycle Management: Oversee the lifecycle of documents from creation to archiving or destruction, ensuring proper classification and retention.
  • Technology Integration: Identify and implement technology solutions to improve document control, records management, and lien release processes, staying ahead of industry trends.
  • Security and Confidentiality: Ensure the security and confidentiality of sensitive documents and records.
  • Cross-Departmental Collaboration: Work closely with other departments to support their document control needs and provide training and guidance.
  • Performance Metrics Reporting: Track and report on key metrics related to document control, records management, and lien release processing providing insights for continuous improvement.
  • Responsible for overseeing the operational budget, including monitoring expenditures, and ensuring financial resources are allocated efficiently.
     

Qualifications:

  • Bachelor’s degree is preferred.
  • Minimum of 10 years of experience in document control, records management, or lien release with at least 5 years in a managerial role.
  • Experience with Document Custodians, MERS, Ginnie Mae, Fannie Mae, Freddie Mac, and other mortgage servicing platforms.
  • Comprehensive knowledge and understanding of chain of title.
  • Management of vendor relationships and global partnerships is required.
  • Demonstrated leadership aptitude with a track record of building high-performing teams.
  • Excellent organizational and analytical skills
  • Advanced attention to detail, with the ability to analyze complex data to drive process improvements 
  • Proficiency in document control software and records management systems
  • Knowledge of regulatory requirements for document control and records management
  • Ability to manage multiple projects and priorities
  • Effective communication and interpersonal skills to effectively convey strategy, risk assessments, and performance outcomes to diverse stakeholders.
  • Proven excellence in team management and cross-departmental collaboration.

Pay Range Details
$111,850.00 - $177,842.00 Annually
The actual compensation offered will depend on factors including but not limited to the candidate's experience, qualifications, skills, and location. This range represents the reasonable minimum and maximum salary the company expects to pay for this position.
