Position Summary
Transform lives by supporting the vice presidents of Finance, Human Resources & Organizational Development, and Information Technology through critical operational and administrative duties that require a thorough knowledge of each unit as well as College policies and procedures. This role needs to understand and advance the vice president’s roles within the college and community. Provide exceptional external and internal communication and customer service as the first point of contact for the vice presidents’ office.

Duties & Responsibilities
Work independently to provide advanced administrative support by anticipating needs and proactively solving problems and facilitating efficient use of the vice presidents’ time through development and coordination of calendar appointments, overseeing events, developing reports, coordinating meetings, and community engagement.

Manage unit operating and capital budgets and coordinates purchasing for the vice presidents.

Work with other Executive Assistants to coordinate and execute college-wide events.

Develop, prepare and edit reports and presentations; independently research and analyze associated data, issues and/or compile materials needed for presentation and/or decision-making purposes.

Assist vice presidents in oversight functions by reviewing, monitoring, and approving correspondence and documents prepared by other offices for the vice president’s signatures.

Handle and safeguard routine confidential office matters and information with discretion and independent judgement.

Serve as the main contact for the vice presidents’ office and represent the vice presidents at internal and external meetings as required. Promote a positive image of the College by greeting and receiving internal and external visitors to the office, respond to inquiries from diverse stakeholders, and refer situations to the appropriate vice president, if not personally resolvable.

Perform general office duties, which may include coordinating and maintaining office supplies, copiers, and printers; making room reservations; submitting work requests for facilities, marketing, and printing.

Serve as backup support to the Executive Assistant to the President.

Other duties as assigned.

Qualifications
Associate degree in related field required. Bachelor’s degree preferred.

Minimum of three years of prior administrative experience required. Executive administrative experience preferred.

Advanced experience in use of Microsoft Word, Excel, and PowerPoint required.

Project Management experience preferred.

Must possess excellent problem resolution, organizational, interpersonal, communication, and project management skills.

Must possess ability to:
