Travel Operations Support Specialist

This role is responsible for providing daily on-demand technical and procedural assistance for Travel Services (especially AAA Stores and Travel Advisors) and on-going project support for new technologies and process implementations.

ESSENTIAL DUTIES/RESPONSIBILITIES:

  • Support Travel Advisors and other stakeholders with worldwide ticketing needs, including exchanges, faring, invoicing, commission auditing, and preferred vendor priority.

  • Provide internal support or referral for all travel technology issues including answers, advice, troubleshooting, and follow-up, referring more complex problems to manager or technical staff.

  • Provide new technology and process implementation support including pre- and post—project planning, testing, and ongoing troubleshooting. Also collaborate and connect with various stakeholders such as Travel Advisors, Information Technology, Accounting, and Travel Leadership.

  • Service AAA.com bookings, respond to member questions, and finalize payments.

  • Stay informed of current airline fare regulations and travel industry developments.

  • Service all travel-related inquiries and escalated customer concerns from AAA.com and the AAA National Office.

  • Observe and track user trends and data reporting errors and escalate issues as needed to managers, trainers, or technical staff.

  • Update intranet online documentation with travel industry changes and new reference materials. Also support Travel Services with intranet requests.

  • Facilitate and assist with the licensing process so that advisors meet all requirements to sell travel insurance.

  • Book executive and board member travel.

  • Contributes to a positive team dynamic through respectful interactions, positive contributions, and active collaboration to achieve department and organizational goals.

MINIMUM QUALIFICATIONS:

  • High school diploma or GED

  • 4 years’ experience in air travel and ticketing, or travel agency role

 PREFERRED QUALIFICATIONS:

  • Experience working as an ARC specialist

KNOWLEDGE, SKILLS, ABILITIES:

  • Competent in MS Office, including Excel, and navigating the internet.

  • Competent in travel software systems, such as Travelport.

  • Knowledgeable in domestic and international airline tariffs, pricing, regulations, exchanges, and policies.

  • Ability to handle confidential documents and information.

  • Ability to address multiple demands and competing priorities in a changing environment.

  • Skilled at working independently; able to prioritize and complete assignments with minimal direction.

  • Skilled in handling urgent situations professionally and willing to take extra measures when solving problems.

  • Skilled at basic troubleshooting, ability to systematically search for the source of a problem to solve it.

  • Ability to communicate clearly and professionally both verbally and in writing, including effective use of listening skills.

  • Ability to establish and maintain cooperative working relationships.

SALARY: The hourly rate for this role is $25.30 - $30.35 and is based on experience.

WORK ENVIRONMENT & PHYSICAL DEMANDS:

  • Hybrid work from home and office required

  • The physical environment is typical of a standard office space. It requires the employee to work inside for the duration of work. Must be able to remain in a stationary position, sitting for more than 50% of the time. This position will require occasionally moving about inside the office to access equipment, cabinets, etc. May work around office equipment which could be noisy, such as copiers and fax machines.

  • Travel: Minimal travel (<25%) may be required
