FACILITIES AND SAFETY ADMINISTRATOR

This role has administrative responsibility for multiple offices and locations, facilities, and employee health and safety (EHS), supporting an efficient, organized, and safe environment.

ESSENTIAL DUTIES/RESPONSIBILITIES:

  • Ensures efficiency of office spaces and resources through canvassing shared physical spaces for organization and cleanliness, creating and implementing related procedures, managing file systems, and overseeing maintenance requests.

  • Manages the cost of shared office supplies through inventory management, maintaining appropriate stocking levels, and re-ordering with appropriate vendor.

  • Manages calendar for facilities and building operations functions, including scheduling of routine maintenance events such as elevator and fire alarm testing and planned internet outages.

  • Oversees Facilities work orders and assigns as appropriate. Works closely with property management vendor(s) to ensure service requests, scheduled maintenance and repairs are made correctly and in a timely manner.

  • Oversees corporate location front desk operations.

  • Prepares and maintains documentation of workflows, processes, and policies for facilities, asset management, and employee health and safety.

  • Tracks expenses and identifies operating and capital budget variances.

  • Provides administrative support for employee health and safety, including facilitating site audits, documenting risks, leading safety meetings, and managing intake of EHS-related service requests.

  • Actively participates and serves on relevant committees.

  • Contributes to a positive team dynamic through respectful interactions, positive contributions, and active collaboration to achieve department and organizational goals.

  • Incorporates AAA’s vision, mission and values in day-to-day activities and behaviors; guides and motivates others to remain committed to AAA’s vision mission and values.

 

SUPERVISORY RESPONSIBILITIES:

  • Direct supervision of front desk receptionist.

  • Responsible for developing people, improving processes, reducing costs, monitoring quality, delivering results against established objectives, and ensuring a high level of service to internal and external customers.

  • Manages assigned employees by recruiting, selecting, orienting, training, coaching, developing, counseling, and disciplining employees; planning monitoring, appraising, and reviewing employee job contributions; maintaining compensation, resolving problems, and implementing change.

MINIMUM QUALIFICATIONS:

  • High school diploma or GED

  • 4+ years’ experience in office management

 

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Certified Administrative Professional (CAP) certification preferred

  • Office Management Professional (OMP) certification preferred

 

KNOWLEDGE, SKILLS, ABILITIES:

  • Strong time management skills and ability to manage multiple priorities

  • Expert in MS Office Suite, including outlook, word, power point, and excel.

  • Expert in document management software tools, such as DocLink for processing invoices and expense reports, DocuSign, and Co-Pilot.

  • Excellent written and verbal communication skills.

  • Strong problem-solving skills.

  • Highly effective facilitation and project management skill sets.

  • Experience successfully collaborating professionally and diplomatically with diverse stakeholders.

  • Ability to establish, nurture, and optimize key internal and external partnerships and influence organizational change.

 

SALARY: The salary range for this role is $70,176 - $80,682 and is based on experience.

WORK ENVIRONMENT & PHYSICAL DEMANDS:

The physical environment is typical of a standard office space. It requires the employee to work inside for the duration of work. Must be able to remain in a stationary position, sitting for more than 50% of the time. This position will require occasionally moving about inside the office to access equipment, cabinets, etc. May work around office equipment which could be noisy, such as copiers and fax machines.

Equipment used: Computer, phone, various virtual technologies and programs, other office equipment

Travel: Minimal travel (<25%) may be required.
