Position Summary
Transform lives by supporting the development, management and execution of activities critical in securing financial resources to advance the Foundation and the college’s mission. This position is responsible for assisting in the Foundation & Alumni office, supporting board activities, fund-raising events, scholarship awarding, and helping to manage grant-related activities and events.

Part-time position working 25 hours/week.

Duties & Responsibilities
Provide administrative and general office support to include scheduling meetings and appointments; arranging catering and technology set up for meetings; and making room reservations.

Assist in preparation of Foundation & Alumni events to include golf outing; trap shoot; scholarship reception; Foundation Board of Directors’ meetings and committee meetings; donor reception; employee giving campaign; annual appeal; and alumni events.

Manage calendar to ensure timely preparation, coordination, and execution of Foundation & Alumni activities and events.

Assist the Director and the Donor Relations Manager to plan and promote scholarships and process scholarship application materials.

Assist with writing and proofing content of print pieces, event marketing, maintaining news, announcements, and department-specific content on the Source, Mid-State’s Foundation & Alumni website, social media, and electronic marquees.

Provide coordination of scholarship presentations at high school award programs in the spring.

Provide support for updating, tracking, and compiling donor and alumni information.

Collaborate with the Grants team and other internal and external stakeholders to gather information to support development of persuasive grant proposals.

Assist in the review of grant applications with the team to ensure all required documents, narratives, and budgets are complete and accurate.

Document the submission of grant applications, retaining copies both electronically and in hard copy.

Track the status of grant applications and ensure timely follow-up on outstanding submissions.

Prepare copies for distribution to project personnel.

Assist with the preparation and submission of timely and accurate grant reports to funders, highlighting the organization's achievements and impact.

Develop and maintain an up-to-date calendar and database of grants, including deadlines, eligibility criteria, and application requirements. Ensure all deadlines are met and send reminders to the Grants team about upcoming deadlines 

Other duties as assigned.

Qualifications
Associate degree in business administration, communications, non-profit management, or related field required.

Previous experience in grant work and basic knowledge of budgeting and financial reporting preferred.

Working knowledge of Windows, Microsoft Office applications, and PeopleSoft applications, or the ability to learn and use PeopleSoft and Blackbaud Academic Works Scholarship Management System and other relevant software preferred.

Must possess excellent problem resolution, organizational, interpersonal, communication, and project management skills.

Must possess ability to:

Compensation & Benefits
Compensation is dependent upon experience and qualifications.

A pro-rated amount of paid time off will be associated with this part-time position.
