Position Summary

The Project Coordinator acts as a liaison for our internal departments and external stakeholders, including clients, sub-contractors and municipalities.

This role provides administrative support throughout the projects, from inception to completion.

Job Responsibilities:

  • Initiate customer contact regarding order, scheduling, troubleshooting and work completion notices
  • Coordinate internal project meetings, including initial kick-off calls, weekly status updates, project scheduling and billing reviews
  • Coordinate site access and send scheduling confirmation emails to the customer POC
  • Assist with checking availability/acquiring subcontractors, temporary manpower, equipment or vehicle rentals, as directed
  • Manage process for subcontractor agreements, including creating and delivering fully executed documents, statement of work (SOW) and receipt of deliverables
  • Submit start work notifications to the municipalities, request traffic control and track permits under the direction of the Project Manager
  • Collect receipts from field tech/operators for the processing and approval of invoices
  • Print new project file document materials, scope of work and customer contact information
  • Create, assemble and distribute new job folders, following checklist provided
  • File all project documents appropriately: scan and save contents into digital network file, as directed
  • Download and save field installation photos into digital format, tracking the before and after photos for each install
  • Assist with Diggers Hotline Locate tickets, under the supervision of the Project Manager
  • Download cable test equipment and save files to digital folders
  • Gather and finalize project deliverables and submit any required information to the client as directed
  • Update project management tracking systems and manage correspondence from project team members

Education/Experience/Qualifications:

  • High school diploma or equivalent required
  • Three years of administrative customer service experience in construction or telecommunication industry required
  • General project management and coordination skills, including the ability to track activities to a schedule and provide basic reporting/status updates on a regular basis
  • Must have a high level of accuracy and exceptional attention to detail
  • Ability to work independently, manage multiple tasks, set priorities, manage time effectively and meet deadlines
  • Excellent Microsoft Word, Excel and Outlook skills required
  • Professional demeanor and appearance, along with the ability to communicate effectively with vendors, customers and other employees of the organization, which requires excellent written and oral communication skills
  • Must have a valid Driver's License and be insurable
