The Human Resources Coordinator is responsible for providing administrative support and project coordination supporting the Human Resources strategy and service delivery. This position supports the team in building collaborative relationships across the organization.  This individual will work both independently and across the association collaboratively, demonstrating high levels of flexibility and an understanding of handling sensitive issues.

RESPONSIBILITIES:

  • Provides recruitment support, including drafting, job postings, sourcing, and scheduling candidate interviews.
  • Coordinates new hire onboarding activities with IT, Operations, Management,   and other MBA staff as needed.
  • Acts as the point of contact for new hires and serves as a welcome ambassador.
  • Assists with the preparation of the performance management process.
  • Provides technical support to LMS, HRIS and performance management system end-users.
  • Develops and posts employee news and other content in MBA Café.
  • Produces and distributes monthly and ad hoc department reports.
  • Prepares MBA Learns Course of the month features.
  • Answers general employees’ inquiries about HR-related issues.
  • Prepares Personnel Action Forms when needed.
  • Acts as a Payroll process back up.
  • Assists in the implementation and maintenance of employee rewards and incentive programs.
  • Responds to internal and external inquiries and requests related to the HR department.
  • Supports MBA employee engagement survey process and initiatives.
  • Acts as internal subject matter expert and administrator for the MBA intranet.
  • Participate in the establishment and enhancement of internal Human Resources policies, processes, and practices
  • Develops and implements the MBA Intern programs.
  • Assist as needed on departmental programs: wellness, staff events, etc.
  • Assists in the budgeting process as needed.
  • Processes MBA matching Charitable Donation requests.
  • Prepare and maintain monthly reports (org charts, turnover reports, headcount BIS, and weekly vacancy reports.
  • Maintains soft and hard copy employment files ensuring accuracy and compliance.
  • Accurately codes and processes department payables in Docuphase
  • Supports the execution of special events such as open enrollment, association-wide meetings, employee recognition events, holiday and wellness events.
  • Acts as a backup resource to the Legal Assistant
  • Other duties, as assigned

SPECIFICATIONS:

  • A minimum of two to four years of Human Resource administration or coordination experience. A relevant degree may offset some of the direct work experience requirements.
  • Excellent employee experience mentality and comfortable in a heavy multi-tasking environment with competing priorities.
  • Superior attention to detail and excellent verbal and writing skills are required.
  • Able to perform with minimal to no supervision on high-priority projects.
  • Expert skill level required with Microsoft Office Suite and collaboration software.
  • ADP Workforce Now experience desirable
  • Must be well-organized and able to deal effectively, confidentially, and professionally with MBA staff of all levels.
  • Ability to function effectively in a fast past and, at times, stressful environment.
  • Ability to work concurrently on multiple projects and apply good judgment and prioritization.
  • Ability to maintain a high level of confidentiality at all times, both internally and externally.
