OVERVIEW

The candidate for this role will competently and professionally provide support to the Benefits team. Create and maintain benefit personnel files that include benefits enrollment, disability, and terminations. Respond to employee general inquiries about benefits, changes of status, and Family and Medical Leave. Provide payroll support that includes reviewing payroll reports and personnel actions during payroll processing Support and assisting with wellness activities across the company and a variety of human resource projects that include all company divisions.

ESSENTIAL RESPONSIBILITIES

Benefits Administration

  • Send new hire documents to new benefit-eligible employees, process benefit enrollment in Lawson and with benefits vendors
  • Send reminders to employees regarding the due date for benefit enrollment. Enroll new hires in Fidelity our 401k provider.
  • Ensure that employees who do not elect benefits complete an enrollment form to waive coverage.
  •  Maintain Benefit, Disability, and Termination files. Monthly filing of terminated employee new hires, and disability benefit documents in the appropriate file records for the benefits team.
  • Assist the Benefits Analyst when archiving folders periodically as needed.

FMLA Administration 

  • Review of the FMLA policy and process when employees request medical leave.
  • Execute the legal protocol for providing the required FMLA Rights and Responsibilities and Designation notices.
  • Provide FMLA or Non-FMLA forms and Short-Term Disability documents.
  • Follow up and ensure timely completion and return of documents in accordance with the employee’s medical leave timeline. BILLING
  • Prepare monthly vendor invoices and Funding Check requests for various benefits that are processed monthly and weekly with Accounts payable.
  • Prepare all documents for approval by the VP of Human Resources via DocuSign.
  • Reviewing billing statements and accuracy such as Terminations, COBRA participants, Life changes, and New enrollment.

Billing

  • Prepare monthly vendor invoices and Funding Check requests for various benefits that are processed monthly and weekly with Accounts payable.
  • Prepare all documents for approval by the VP of Human Resources via DocuSign.
  • Reviewing billing statements and accuracy such as Terminations, COBRA participants, Life changes, and New enrollment.

Wellness Initiatives and Budget

  • Participate in the planning and coordination of annual wellness initiatives such as walking challenges , healthy cooking, mental wellness webinars, and joint initiatives with Urban One Divisions.
  • Assist the Benefits Analyst in submitting documentation for reimbursement from our wellness budget managed by our medical insurance vendor.
  • Provide new hires with the annual incentive guide for medical plan incentives.

Payroll

  • Provide backup support for payroll administration such as reviewing new hire status codes, compensation changes, promotions ensuring approval and backup supporting documentation are captured.
  • Confirming terminations status changes are entered in Lawson HRIS in conjunction with Urban One’s semi-monthly payroll cycle.

Knowledge/Skills/Abilities

  • Excellent communication, interpersonal and problem-solving skills are required to interact with managers, employees, candidates, and vendors
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook & Access), online applicant tracking systems, and internet research skills
  • Must be detail-oriented and able to proof and edit documents, spreadsheets, etc.
  • Must be able to handle confidential information
  • Strong sense of urgency and ability to multi-task
  • Proficiency with sourcing tools that include web-posting, diversity channels, networking venues, and cold-calling
  • Strong commitment to client and candidate as evidenced by responsive, well-crafted communications via email, phone, or in-person; must be customer service oriented
  • Project management experience, with the ability to respond to changing priorities, and enjoyment of fast-paced, dedicated, technically challenging work environment
  • Communicate professionally, tactfully, and with the utmost diplomacy at all times, treating all candidates with dignity and respect. Maintain a high level of confidentiality at all times.

Education and/ or Experience

  • Bachelor’s degree in Human Resources or related field is preferred, 3-4 years of experience in an HR support role or an equivalent combination of education and experience.
  • Prior experience using Lawson a plus
  • Desire to grow professionally within human resources function
