This is a full-time role with non-traditional hours.  Reporting to the Special Projects and Programs Specialist. The Personal Administrative Assistant person supports the Office of the CEO of Urban One. This person is the secondary point of contact for internal and external constituencies on matters relating to the Office of the CEO. The ideal individual will be a consummate professional who is adept at exercising good judgment in a wide variety of situations, a first-class juggler who is able to maintain balance among multiple competing priorities, and a travel scheduling magician who is unfazed when booking complex multilocation travel.  Keys to this role are strong written and verbal communication, administrative and organizational skills, and finding humor in an ever-changing “to-do” list. The Personal Administrative Assistant must be able to work independently on projects from conception to completion.  The individual must be able to work under pressure, handling various personal and professional assignments as well as confidential matters with discretion.

ESSENTIAL RESPONSIBILITIES:

  • Research, schedule, and coordinate travel for the CEO, ensuring reservations for air travel, car rentals, sedan services, overnight accommodations, and meeting-related matters are accurate and communicated in a timely manner.
  • Monitor incoming mail, packages, and voicemails for the Office of the CEO.
  • Perform a variety of personal tasks and errands that aid in organizing the CEO’s life.
  • Organize personal appointments and family-related activities. (At times, this could be 70% of the job)
  • Accurately maintain the CEO’s busy calendar and quickly adapt to last-minute changes in travel, meeting, social engagements, or other plans.
  • Prepare complete and accurate correspondence, including applications and other forms, for approval and signature.
  • Keep the Office of the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.

 KNOWLEDGE/SKILLS/ABILITIES:

  • Strong written and verbal communication skills and comfortable with communicating with high-level executives, clients and other dignitaries.
  • Proven ability to handle confidential or sensitive information with discretion.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, SharePoint, Teams)
  • Comfortable in a high-performing, fast-paced environment and can organize a daily workload by priorities with excellent time-management and problem-solving skills.
  • Successfully complete critical deliverables with a customer-friendly hands-on approach.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
  • Excel on being detail-oriented, working both independently and as a part of a team when needed.
  • Local travel may be required
  • Prioritize conflicting needs; handle matters expeditiously and proactively.
  • Submit to a criminal background check  
  • Legal right to work in the United States  

EDUCATION and/or EXPERIENCE

Undergraduate degree desired. Three to five years of experience working for C-suite executives is strongly preferred.
