Grants and Contracts Coordinator

POSITION SUMMARY - This position is based in Ambatondrazaka, Madagascar (national candidate only) 

The Grants and Contracts Coordinator coordinates grants and contract-related administration activities for a program or division. Working closely with the Grants Manager and other senior staff, they support grant-making activities including, planning and application activities, contracting, day-to-day administration, reporting, and closeout.

The Grants and Contracts Coordinator reviews and processes grants-related data and maintains the accuracy of grants and award information in the grants system/database. They process routine financial transactions and help generate timely financial and related reports including comparing budgeted vs. actual expenses. The Coordinator reviews grants-related activities for accuracy, completeness, and compliance with CI and grantor policies and regulations and maintains filing systems. They serve as a key information resource and facilitate effective communications among key stakeholders. They perform other administration duties as assigned and may assist with grants training efforts.

This position does not supervise staff and duties are performed under Grants and Contracts Manager; they will be based in Ambatondrazaka. 

RESPONSIBILITIES

Grant Award and Contracts:

  • Compile and assist in reviewing documents related to the grant award process, including developing announcements of grant and subcontract opportunities.
  • Conduct preliminary reviews of grantee technical and financial reports. Coordinate site visits/desk reviews as needed.
  • Monitor proposals including project approval/rejection and overall project status. Keep senior staff informed of deadlines, targets, and workflow changes.
  • Coordinate legal/HQ review of agreements and review that all necessary signatures are in place.
  • Process contracts amendments and additions.
  • Coordinate grants closeout activities as directed.

Grants Administration:

  • Enter and maintain data and information into the grants system. Work with system administrators to resolve recording issues and recommend system improvements and efficiencies as needed.
  • Process routine financial transactions including check requests.
  • Assist in providing timely, accurate, and relevant reporting, including budget to actual comparisons and status reports.
  • Monitor existing grants for compliance with grant agreements and CI policies and procedures.
  • Assist grantees/consultants with routine financial, compliance, and system reporting questions. Provide training and support as directed.
  • Serve as a primary contact and manage day-to-day interactions with grantees and program, field, and HQ colleagues.
  • Maintain hard copy and electronic agreements and related files.
  • Provide other administrative support as directed.

WORKING CONDITIONS

  • Flexibility to work outside of normal work hours to meet deadlines as needed.
  • Guidance on flexible work arrangements will be shared during the interview process.
  • This is a fixed-term assignment.

QUALIFICATIONS

Required

  • 2 to 4 years of experience in business administration, accounting, or a related discipline

Preferred

  • Bachelor’s degree (Bac +3) in business administration, accounting, or related field.
  • Previous experience with a grants management system.
  • Team player and ability to work cooperatively with internal and external partners.
  • Strong written and verbal communication skills.
  • Highly organized and able to multitask, prioritize, and adapt to changing priorities.
  • Strong attention to detail and problem-solving abilities.
  • Demonstrate ability to handle confidential and sensitive information.
  • Proficient in Microsoft Office.
