Development Coordinator

POSITION SUMMARY - This position is based in Arlington, VA
Reporting to the Manager of Donor Experience, the Development Coordinator supports the Donor Experience and Annual Giving teams. This includes coordinating information systems to ensure that materials are managed for most effective use, managing team workplans for greater team efficiency, creating and coordinating emails and mailings to donors, answering donor outreach via phone and email, and handling administrative tasks to ensure smooth and high-functioning departmental operations. A successful coordinator brings project management, information management, nonprofit communications, and administrative expertise to the Donor Experience and Annual Giving teams.
This position does not manage staff. Duties are performed under general supervision.
RESPONSIBILITIES
Fundraising and Stewardship:
- Assist with the formatting, proofreading, and finalization of proposals, concept papers, and reports.
- Produce regular appeal and stewardship mailings to donors and appropriate prospects.
- Draft thank-you notes, emails, and other correspondence.
- Execute the Annual Giving donor acknowledgments process on a bi-weekly basis by managing the data and working with an outside vendor to finalize printed materials and mailings.
- Provide donor support through our 1-800 phone number and community e-mail inbox, answering calls and e-mails, and coordinating inquiries.
- Review lockbox files on a weekly basis to address donor comments and requests.
- Provide support for large and small cultivation and stewardship events (e.g., creating invitation lists, working with vendors, producing invitations, managing and confirming responses, providing logistical support at the event, and executing post-event follow-up).
Reporting and Tracking:
- Maintain the Donor Experience workplan and support the Donor Experience Manager in running reports and creating presentations on team data.
- Generate regular reports using Raiser's Edge (e.g., mailing lists, regional and portfolio giving history).
- Establish systems and procedures to capture and store materials in team project spaces.
- Collect, document, and track donor reports and proposals, and other deliverables for the organization’s top donors.
Administrative:
- Schedule meetings, draft agendas, make travel arrangements, process invoices, and complete expense reports for the Donor Experience and Annual Giving teams.
- Track department inventory like donor swag, paper products, etc., and order additional stock as needed.
- Organize mailings (as needed) for department materials.
- Assist in the creation of PowerPoint presentations for internal and external use.
- Other duties as assigned to support the Development Division.
People and Resource Management Responsibilities
- This job does not directly manage staff but does have the authority to engage with CI staff as necessary to produce or finalize a proposal, report, or other fundraising or stewardship products.
- May direct the work of vendors or interns.
- This job does not have the authority to allocate resources or approve budget expenditures.
Other duties as assigned by the supervisor.
WORKING CONDITIONS
- Hybrid office arrangement, staff will be in the office 10 days per month.
- Typical office environment.
- Flexibility in work schedule to accommodate time differences with HQ and field programs may be necessary.
- Occasional travel may be required to support account leads and fundraising efforts.
QUALIFICATIONS
Required
- High School Diploma or equivalent required.
- 2-4 years of related work experience.
- Proficiency in Microsoft Office applications and basic computer operations.
- Excellent communication, proofreading, editing, and writing skills.
- Ability to manage multiple processes at a given time.
- Must be organized with strong attention to detail, proofreading skills, and the ability to work independently and within a team framework.
- Ability to function well in a multicultural, diverse, and fast-paced work environment.
- Ability to work effectively as a member of a geographically dispersed team and to communicate with staff at off-site locations.
Preferred
- A Bachelor’s degree in English, Journalism, or a related field, or up to four years of college-level work.
- Experience with Raiser’s Edge or another fundraising database.
- A demonstrated passion for and interest in conservation and human development issues.
