St. Pete-Clearwater International Airport (PIE) is the 9th busiest commercial service airport in Florida and served over 2.2 million passengers in 2018.  Contributing over $1 billion in runway dependent economic impact to the community with Commercial, General/Corporate Aviation, and Military operations based at PIE.  Currently, the airport flies to 57 non-stop destinations in the US and Canada.

Under general supervision, the Airport Administrative Support Specialist performs a wide variety of administrative tasks supporting various divisions of the Airport, with a focus in Administration.  Provide office support by preparing letters, reports, meeting agendas, meeting minutes, calendar management, travel arrangements. Ability to perform work independently and in a team environment. Promote customer service culture at PIE.

 

What Would You Do?

  • Assists Deputy Director of Operations & Facilities with Noise Abatement Working Group Meetings, prepares meeting agendas and minutes. Reviews all data, charts and PowerPoint submitted for accuracy prior to presentation to Task Force. Prepares reports and minutes to be uploaded on the Noise website page.
  • Prepares cost estimates and reconciles travel upon return for Airport employees and process local mileage.  Familiarize and become an expert on County Travel Policy.
  • Arranges monthly Tenant Managers Meetings with Deputy Director.
  • Assists with preparation of monthly purchasing card reports for staff.
  • Serves as Alternate Public Records Liaison and assists the Project Coordinator in collecting records and utilizing GovQA software.
  • Serves as departmental liaison for PIE's Records Management.
  • Serves as departmental liaison for compliance of annual USecureIt Security Awareness Training.
  • Assists with and serves as Alternate for the annual update of the Airport Severe Weather Manual.
  • Provides backup assistance for Legistar entry and serves as the primary backup for the Office Specialist position.
  • Complies with Transportation Security Administration badge and escort regulations to assist Air Service Development and Public Relations with welcoming of new air service and various assignments during airport events, tours, or presentations.
  • Maintains and posts Conference Room Calendar. Creates and maintains FAA and FDOT grant and project files.
  • Assists Accounts Receivable with conducting Annual In-Person Asset Inventory.
  • Works closely with Airport Facilities staff regarding purchase orders and budget coordination.
  • Keeps abreast of changes in Airport, County, and Airline changes to provide general customer service.
  • Communicates and interacts effectively with internal and external business contacts.
  • Performs duties as assigned in support of the Project Coordinator and Airport Administration Department.

What Do You Need To Have?

  • 3 years of experience as described above.
  • An Associate degree in a related field plus 1-year experience as described above.
  • Bachelor’s degree in a related field and some experience as described above.
  • Ability to obtain and maintain Airport SIDA badge (requiring successful completion of a ten-year background check to maintain SIDA badge). 
  • Assignment to work a variety of work schedules including compulsory work periods in special, emergency, and/or disaster situations.
  • Valid Florida Driver’s License upon hire.
  • Computer skills, including Microsoft Office.

 

Highly Desirable

  • Knowledge/Experience with County policies, procedure, and software systems.
  • Intermediate Microsoft Office skills.
  • Strong Customer Service Skills
