Schedule: Monday - Friday, 8:30 a.m. - 5:00 p.m.
Would you like to be part of the official tourism marketing management team for Pinellas County? In this position, you would provide support to enhance and promote sustainable tourism with a focus on leisure, meetings, sports and film, both domestic and international.
This is a specialized position working for Pinellas County’s Destination Marketing Organization also known as Visit St. Pete/Clearwater (VSPC). This position provides administrative support to the Executive team as needed. Work involves adhering to budgets, work schedules, organizing and participating in meetings, and ensuring all deadlines for executive staff are met.
What Would You Do?
- This position provides executive support to Chief Marketing Officer, Vice President of Finance and Administration, Vice President of Community Engagement, and Vice President of Business Development.
- Develops and maintains close working relationships with industry partners and provides assistance as needed.
- Assists in the coordination and scheduling of area familiarization (FAM) tours for media and industry partners visits.
- Provides administrative support as needed including coordinating travel arrangements and completing travel paperwork, creating budgetary worksheets, and completing expense reports.
- Gathers branded products from marketing intended for use with clients, partners, and media; and organizes delivery when needed.
- Creates and sends invoices for agency partners.
- Composes and prepares other types of correspondence and documentation, as needed.
- Assists as necessary with event coordination, planning and itinerary creation.
- Works to maintain accurate partner listings in CRM.
- Attends and participates in departmental meetings, managing notes and follow-up directives to participants.
- Greets clients and customers and answers incoming phone calls and emails.
- Reviews invoices and supporting documentation for accuracy and processes for payment.
- Reviews executive presentations and adds or updates in computer software system.
- Organizes and coordinates appointments and meetings as needed for executive staff.
- Performs related work as assigned or required.
What Do You Need To Have?
- 4 years of highly responsible experience in public or business administration; or
- An Associate’s Degree in public or business administration or a related field plus 2 years’ experience in public or business administration; or
- A Bachelor’s Degree in public or business administration; or
- An equivalent combination of education, training, and/or experience.
- Possession and maintenance of a valid Florida Driver's License, or a Florida Commercial Driver's License and endorsement, if any.
- Assignment to work a variety of work schedules including compulsory work periods in special, emergency, and/or disaster situations.
Knowledge, Skills, and Abilities
- Knowledge of the Pinellas County tourism industry;
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology;
- Skill in using Excel spreadsheets to track budgets, orders, deliveries, invoices, etc.;
- Skill in office management, computer literacy, Microsoft office, Word, PowerPoint, Excel., communication, organization, telephone and email etiquette;
- Ability to to maintain strict confidentiality of sensitive employee and organization information at all times;
- Ability to create and maintain detailed and accurate records;
- Ability to maintain effective departmental and inter-departmental relations.
